Try my 6 C’s for Better Results From Your e-Zine

I’ve been sending out an online newsletter, or e-zine, for more than six years. It’s a terrific way to keep in touch with our IAPQ members as well as other professional quilt, fiber or mixed-media artists, and creative entrepreneurs who use our resources. Here are six tips to make your e-zine work for you.

1. Clarity. Be clear about your goals and your audience for your ezine. Why are you creating this e-zine and who are your writing it for? If you start with that in mind, you’ll find that it’s easier to write your articles and include relevant materials. You can even keep a specific person in mind (someone in your target market) and write directly to that person.

2. Content. People read your e-zine for the content you deliver. The more relevant it is to their lives and/or business, the more likely they are to continue to follow you. Readers resonate with how-to’s, lists, problem solving. It’s OK to promote yourself or your products, just don’t let that be the focus.

3. Consistency. Be sure your e-zine has a consistent look issue to issue. You also want it to go out the same day of each week. Your readers look forward to its arrival and notice if it doesn’t come as expected. This one currently goes out on Wednesdays. The best days for delivery are said to be mid-week. That may not be true of your audience. How do you find out? Survey them. And, how often should you send your e-zine? Weekly gets the best results, then bi-weekly.

4. Call to Action. Every e-zine should include a call to action (CTA). What do you went someone to do after reading your e-zine? It could be to apply a tip you give them or it could be to look at your art or it could be to take you up on your special offer on quilting.

5. Connection. We all like to connect with like-minded people. After all, we buy from people, not an invisible company. Start your e-zine with a brief story about yourself to connect to your readers. Don’t just connect on a personal level, connect also to the issues of your target market. And, speaking of connection, look for ways to make more connections. This could be by using a “forward to a friend” method or including a signup form on the home page of your website.

6. Compelling title. Your e-zine title should make the topic clear and compel the reader to open it. Spend some time looking at the titles of e-zines you get. Which ones were you curious to open and which ones did you ignore? Just as with the content, people like how-to’s, numbers, benefit statements.

Exercise Your “Done” Muscle

A lot of us have problems getting things finished. Several reasons come to mind: procrastination, the need to be perfect, distractions by other things, failure to prioritize. Here are eight tips for exercising what I call your “done” muscle.

1. Get clear about what it is that you are trying to accomplish. Once you have clarity around your goals and/or a particular project, it’s much easier to move forward. As you work, keep your eye on the prize. This will help you progress.

2. Break your project down into manageable tasks. When you look at a goal or a specific project, it can seem overwhelming. If you can break it down into bite-size pieces, it’s always easier to see how you can accomplish it.

3. Look for where you need help. Just because you have a big project, doesn’t mean that you need to do it all yourself. Remember, it’s not necessary to know how to do everything, just what needs to be done.

4. Prioritize what needs to be done. This can apply to a specific project or your daily “to do” list. It’s easy to look for the quick and uncomplicated things to do each day so you can check them off the list. The problem is you aren’t really accomplishing what you need to accomplish. What you should be doing is tackling those projects that move you towards completing your goal.

5. Consider the ROI. That’s Return on Investment. You can look at your tasks and see if time spent doing these tasks is worth your time. Maybe you should delegate the tasks or not even do them at all.

6. Finish what you start. Make that your goal. Really look around at how many people actually finish what they set out to do. Many people say they are going to do something and don’t ever complete it.

7. Remember good enough is often good enough. Sometimes we spend so much time aiming for perfection that we don’t accomplish our goals.

8. Don’t over-think everything. As the Nike ad says, “Just do it.”

Try Time Blocking to Increase Your Productivity

Did you know that February is National Time Management Month? One way I like to get control of my time use is by time blocking on my calendar. What is time blocking? It’s a method of allocating or pre-assigning time for specific activities throughout your day. It helps me keep my day and life more balanced. I accomplish more because I have structure to my day, I can focus on a specific task with a high value, and I’m able to manage interruptions. I’m the one in charge of my day. Here’s how to do this:

1. Review your daily and weekly activities.

  • Can you determine how much time you spend on specific tasks? It might be helpful to track your time for a few days so you can see how much time you do spend on those activities. For example, do you check your e-mail every couple of hours and find that you spend at least 15 minutes each time answering them?
  • Do you have like tasks that are spread through out the week, e.g., teaching every day or taking in new quilts to longarm? Can these tasks be handled on one or two days, so your energy focuses on one activity?
  • Do you have tasks that need attention that don’t seem to get any? For example, dedicated marketing time is key for any business. Artists want to spend their time creating and often have trouble reconciling the need to spend so much time marketing. This task is often relegated to the leftover time when it needs to move to the front burner.
  • Do you have uninterrupted time for creative work? Even though we run creative-based businesses, the time should still be dedicated to the task.

2. Consider your short- and long-term goals.

  • Do you have a big project that needs to be completed? Start with a list of the tasks involved to complete it and estimate how much time is involved for each.

3. Consider your own personal work habits. When are you most effective? I’m a morning person, and I know I am more productive in the morning. For me this translates into activities that require brain-power earlier in the day.

4. Armed with answers to those questions, get out your calendar and begin to block off time for your activities. What most of us do is set appointments with others and that’s what is on our calendar. We then fill our time with items on our goals or to-do list. This system lets you set an appointment with yourself for your work. Once you’ve shifted to an “appointment” mindset, it’s often easier to accomplish tasks on your list. With your goals in mind, put the important tasks first so you’ll accomplish them. If I don’t block time for the key tasks, I can easily spend lots of time on simple tasks, like folding fabric and putting it away or reading the latest quilt magazine or checking Facebook. These items don’t move my business forward in a significant way. Here are some things you might like to time-block:

  • quilt intake time on one or two afternoons or evenings a week, rather than at odd times.
  • time dedicated to longarm work
  • creative time to design patterns
  • marketing time
  • bookkeeping, if you don’t have outside help
  • order fulfillment, if you don’t have outside help
  • learning time
  • time to work on blog posts and your communications with clients
  • writing time if you are working on a book
  • time to complete samples
  • time to read and respond to emails (I know you will have times when you need to check for something particular. When that happens, just handle that one item and save the rest for the blocked time.)
  • time to develop new classes
  • breaks in your day (This can be crucial if you are standing or sitting at a machine most of your day.)

To give you an idea of how I time block my week, I have our member calls and coaching calls on Tuesdays rather than spaced throughout the week. I allot one block of several hours during the week on one day to work on my blog and ezine articles. Because I’m working on a new program, I block time during each day to work on that. It’s a goal with many smaller tasks that need to be completed. I also block out time twice a day for e-mail, so I’m not checking constantly. I have an hour each day blocked out for reading or learning something new I can apply to the business. I block out Thursday afternoons for errands. Because I know that’s the day for errands, I try to schedule doctor appointments during that time, and I’ve already scheduled my hair appointments through October. I also block out time for family and self-care, so they don’t get lost.

I’m not rigid with the time blocking, and, of course, I have other appointments to put in. This week I have my local guild meeting and a professional quilt guild meeting.

In the end the reason I think this works is because when you pre-assign the time for a specific activity, you are more focused on getting it done. In a sense, you created a deadline for yourself. And by batching like tasks together in the same block (like the quilt intake sessions), you work more efficiently.

Get More Done: Try Single-Tasking

Are you a multitasker? Do you read your e-mail while you’re on the phone and at the same time bind your quilt? We’ve all been there, and I’m hoping to put my multitasking in the past.

According to Harvard Business Review blogger Paul Atchley, studies show that multitaskers are less efficient, perhaps by as much as 40%, than they think. He says that it takes an average of 15 minutes – and I’ve read numbers as high as 40 minutes – to reorient oneself to the main task. Wow – 15 minutes! Can you imagine how much time you waste on a daily basis trying to get back to the task at hand?

If you want to break your multitasking habit, here are four tips:

1. Focus on one task at a time. Atchley says our attention starts to wane after 18 minutes. He suggests that if that happens and you switch to a different task, make notes about the first task to make it easier when you go back. I think that if your attention wanes, it might be time for a quick stretch and then quickly re-focus on the same task.

2. Since I mentioned focusing on a task, be sure to divide your project into doable tasks. Set a timer for the task. I find it easier to focus if I have specifically set the time aside.

3. Eliminate distractions. This could be closing the door to your studio, letting the answering machine pick up the calls, stopping the audible tones of your e-mail. What’s key is paying attention  – again focus – to your task.

4. Stick with it until it’s done and done right.

And, if you think multi-tasking is only a problem today, here’s a good quote from Lord Chesterton, attributed to a letter to his son in the 1740s:

“There is time enough for everything in the course of the day if you do but one thing at once; but there is not time enough in the year if you will do two things at a time.”

5 Tips to Start the New Year

The New Year is two days away. I’m excited about some of the things I have planned. I have some exciting new business programs to announce in the next few months, and I’ve started a coaching program for creative entrepreneurs.

As I look ahead, I can see that I have a lot to accomplish, and I need to stay focused to do that. A lot of you know that one of my favorite planning resources is Your Best Year Yet by Jinny Ditzler, and following her process helps me focus. See the review below.

I wanted to share five tips to keep in mind as you start 2011:

1. Set time for yourself in your calendar. The older I get, the more important I realize that this is. And, I’m sure I’m not the only one who doesn’t take enough time for her or himself. It’s important to find a little time here and there to care for ourselves. We’ll feel happier and stronger inside and this will in turn make us happier and stronger business people. For me, the best way to do this is to make an appointment for self-care in my calendar. One good reference on self-care is The Art of Extreme Self Care by Cheryl Richardson.

2. Set time in your calendar to grow your business. Many of us are solopreuneurs and tend to spend much of our time working in our business when we should be working on our business. Again, the calendar is a great tool. A quarterly business retreat is an option, so is working with a coach. I’ve set time aside to meet on the phone with a Mastermind group.

3. Allow adequate time for marketing. For many, the production is the fun part and the marketing takes a back seat. I’ve had more than one person tell me that she spends two to four times as many hours marketing herself and her product as she does producing the product. Marketing is an ongoing process; you are always marketing. I love this quote from actress Carrie Fisher, “There is no point at which you can say, ‘Well, I’m successful now. I might as well take a nap.'” This keeps me focused on marketing my product.

4. Keep on top of your financials. I know, most people do not enjoy bookkeeping, and if you can hire someone to take it over, that’s great. But watch your numbers. You need to know what’s coming in and what’s going out. What is your ROI (return on investment) for your activities? Your business can’t grow if you aren’t aware of the financials. The Winter issue of The Professional Quilter will include an article on common mistakes small business owners make with their accounting. Watch for it.

5. Remember why you got into business. For many of us, it was our love of quilting or fiber arts and wanting to share our gifts with other quilters. Sure, we work hard at it, and we are rewarded. When times get tough, step back and remember what got you in the business. Maybe use some of that self-care time to make something for yourself. Another quote I like is from Thomas A. Edison. “I never did a day’s work in my life. It was all fun.”

The Power of Five

When I was on vacation in Florida last month, I took a water aerobics class. One morning the instructor noted that we only had four months left in the year to accomplish our goals. While she was referring to our health goals, we now have three months to accomplish our other personal or business goals. How close to your goals are you? I know I still have some work to do on mine. One tool I use could be called “The Power of Five.” I’ve probably always used some form of this concept, and Jack Canfield coined it the “Rule of 5” in his book The Success Principles

Simply take five steps towards your goal each day. They don’t have to be big steps; they can be baby steps. For example, if one of your goals is to promote your new pattern, sending a sample with a letter to five different distributors counts as five steps. The steps don’t have to big ones, just ones that move you towards your goal. And, I think that often the small steps get you there faster; they make the goal seem less overwhelming. Of course, to do this you have to break down the goal into specific steps, often referred to as “chunking.”

I use the concept several ways. I have a running list of things that need to be done for a project, and I can decide the night before what I will accomplish the next day. Then I use my calendar to note the five things I did accomplish. That lets me see that I am progressing towards my goal. And some days I don’t get five. That doesn’t really matter as long as I’m taking some action towards my goal. It’s about persistence with one step followed by another step.

Getting Through Your To-Do List

With the travel I’ve had this month and that I see ahead – hello, Houston and its deadlines – I have to be quite organized to get it done. Here are some tips for accomplishing all that’s on your to-do list.

1. Start with a written plan. Clear, written goals are essential. What is the major goal and what are the sub-tasks? For example, my trip to our industry shows, Quilt Market and Quilt Festival in Houston, is a major goal. It has a number of sub-goals, including creating handouts for the two classes I will be teaching, developing a look for the booth, shipping supplies, developing an order form, etc. I have written out all the specific tasks for each sub-goal in my plan. It lets me focus easily and assures I don’t forget anything.

2. Prioritize the tasks and set deadlines. You need to determine when all the sub-tasks need to be done for the goal to be completed. In the case of Quilt Market/Festival, we know it takes place beginning Oct. 29, so I create a schedule backwards showing when my display materials and class materials need to be shipped. I also like to build in a little extra time. And, you might find out that not everything on your list will get done, so focus first on those activities that have the greatest impact on your business results.

3. Make a daily schedule. Take time either first thing in the morning or the night before to plan your day. Then take daily action toward your goals. How you work toward your goals will vary. You may like to work on one project to completion or divide your day into large blocks for different tasks. In my case, I plan to work on the handouts for my classes on one day and then ship the materials this week. That way they are done, I can check them off the list, and I won’t rush at the last minute.

4. Create and use systems if possible. I have a checklist for booth supplies for trade and retail shows. When it nears time for me to pack my supplies to ship, I get out my checklist, note any additions I may have added at the last show, and print a revised copy to use. I allow extra time in case I need to replace something on the list, e.g., masking tape or a new bulb.

5. Not everything on your list will get done. Remember the 80/20 rule. Twenty percent of your activity results in 80 percent of your results. Concentrate on work in the 80 percent; that’s where your ROI (return on investment) will be.

6. And, finally, let go of perfectionism.This is a hard one for me. One of my mentors says to work to “good enough.” It might be that you set a timer for some of the tasks and what you accomplish in that time is “good enough.”

One of my favorite resources for getting things done is Eat That Frog! by Brian Tracy. The book’s title references a quote from Mark Twain: “Eat a live frog every morning, and nothing worse will happen to you the rest of the day.”

Brian goes on to offer his own two rules about “frogs,” your most important task. “The first rule of frog eating is this: If you have to eat two frogs, eat the ugliest one first. The second rule of frog eating is this: If you have to eat a live frog at all, it doesn’t pay to sit and look at it for very long.” So when I have lots on my plate, I look for the frog and start there.

5 Ways to Unleash Your Creativity

Do you ever bump up against inspiration and/or creativity blocks? I think it happens to all of us at some point. Here are some of my favorite ways to get back on track:

1. Get out of the studio and go shopping. No, I don’t mean buy more fabric, paints, threads. I mean go window shopping. And bring along a small journal. Sketch some designs that inspire you, note unusual color combinations that you like, and make notes about a new technique you see. Don’t just poke around quilt or fiber shops. Try antique shops, art shops, galleries, etc.

2. Since I’m on vacation this week, I’ll add that new surroundings are great for inspiring new ideas. Historic homes and gardens offer ideas. Shells on the beach or landscapes you don’t see at home can lead to inspiration. Earlier this spring I was in Cape May Point, NJ, and we stopped and took photos of old boating paraphernalia, as the textures were inspiring. So be sure to pack your cameras!

3. Take a class or get together with other quilt artists. This could be as simple as going to a local guild and viewing show and tell. You might also find a small group to join. And, don’t limit yourself to quilt or fiber classes. Try a watercolor or other painting class, jewelry making or photography, something outside your realm.

4. Start an inspiration journal or file. I have a file folder where I keep photos of quilts, rooms, words and sayings, floral arrangements. Anything that inspires me – or makes me smile – goes in the folder. It’s a resource I can turn to to awake my creative juices.

5. Relax. Do something for your inner self. For example, a walk in the woods, a bike ride to the lake with a picnic, a bubble bath can all have the effect of just clearing your mind so you’re open to something new.

Do You Know Where Your Time Goes?

Since the last week was busy for me – getting ready for a show and then leaving on vacation a day after returning  –  it was important to pay attention to how efficient I was with my time. I can’t remember who said that you get more done in the day before your vacation than you do in the whole week before. I definitely think there’s some truth in that statement. For me, part of the reason I shift into overdrive before I leave is that I like to return to a clean slate. It would be great to work more efficiently more of the time. Here are a few tips that might help you do that:

1. Track how you spend your time. At the end of each day and at the end of each week compare the percentage of your time used toward fulfilling your mission and achieving your goals with that spent elsewhere.

2. Set your priorities for each day. Select your three top goals for the day and work to complete those. If you are clear about what you want to accomplish, it’s easier to say no to something that comes up that doesn’t fit into you time.

3. Keep a copy of your mission and goals where you can see them. If you keep the end in mind, it’s easier to keep distractions at bay.

4. Learn to say “no” more often. If you have problems with this one, you can read a great article on the topic in the Spring Issue of The Professional Quilter.

5. Use caller id and/or let your answering machine take a message. You can allot a certain amount of time at the end of the day to return the calls.

6. Limit time on social networking sites. Connecting through these sites is important for the growth of your business, but they can be big time vampires. Set aside 30 minutes each day for Facebook, Twitter, Linked In, etc., and then stay off the sites the rest of the day.

Is Your Stack of Quilt/Art Magazines Winning? 7 Steps to Get it Under Control

It can take over in the blink of an eye, crowding your desk or hiding in the far corners of your office. It’s important, but not urgent in most cases and whether it’s consolidated or all spread out, it’s there to remind you that you’re behind.

What is it? It’s everything you set aside to READ. And it’s everywhere. At one point or another, you thought you wanted to read it. Well, how badly do you want to read it now? Some of it’s collecting dust. Yeah, I’ve seen lots of reading piles gather layers of dust and actually most of what I’ve seen wasn’t even in a pile.

So I’ve put together these 7 steps to revive your reading or retire it for good. When you follow these steps, you will be able to take charge, take your reading seriously and be done. Or you can later weep at the thought of trying to read your collection… after it’s grown even bigger!


Step 1: Get it all into one pile

I find my clients have their reading spread out all over their offices. If you do this too, it can skew your perception of how much you’ve collected to read and you could be holding on to way more than you could possibly read. So put it all into one pile and you’ll get a sense of how much you intended to read.

Step 2: Pick your favorites

Once you get everything together into one pile, pick your favorites and set them aside. Then from the remaining pile, pull out the ones that you never get to or the ones you’re not as interested in anymore. Unsubscribe to those and then toss them.

Step 3: Rank your reading

Put everything that’s left back into one pile again and then separate them into 3 new categories: Must read, Important to read, It would be nice if I could read. Then see if you can toss the last pile entirely!

Step 4: Give it a week

From what remains, give yourself 1 week to read everything – or almost everything. This would be the “must read” and “important to read” categories. Some reading is weekly and some is monthly. Just remember that the more you read now, the better. Why? Because more is coming!

Step 5: Know your best location

When you read, where’s your favorite place to read? At home or at work? Know your favorite locations and be sure to take your reading to this place so it’s ready when you are. You can also put it in your briefcase if reading on the road or while you’re waiting for someone or something is another way for you to catch up.

Step 6: Keep it together

From here on out, you should only maintain one reading pile. Whenever you get something new to add to the pile, be sure to review what you’re collecting. Don’t keep adding more and more unless you read something or toss something. Remember, you only have so many hours in a day and in a week before more reading comes along, so be realistic about what you intend to read.

Step 7: Protect your time

Protect time in your schedule to actually READ! If you enjoy reading early in the morning before the day gets started, then read a little every morning. Or maybe lunch time is best or maybe later in the day or evening. Decide what works for you and for the different kinds of reading you probably do. Whatever you choose, plan to do it every day or several times a week until the pile is gone. You can also block out time on your calendar so it’s a visible reminder. Then enjoy your reading! That’s the point isn’t it?
